Creation and modification of the list of materials on Yoplanning.pro
Introduction
The "Material List" feature on Yoplanning.pro allows you to create and manage a variety of materials, whether physical or intangible, such as insurance or miscellaneous expenses. This list gathers all the items that do not need to be planned, but can be used as additional options for your services.
Steps to create or modify the material list
Access to the functionality
Log in to your account on Yoplanning.pro.
From the Dashboard, navigate to the “Administration” tab.
In the left menu, click on “Resources”.
Creating or modifying Resources
Resources can be of 4 types:
Material Resources: Material resources refer to the physical and tangible assets needed to carry out the activity. This may include collective or individual equipment
Insurance resources: Insurance resources refer to the guarantees or protections put in place, such as cancellation insurance, or additional insurance covering the activity.
Question resources: Question resources designate the information, the knowledge that we wish to ask the client for the defined activity. (Please note that this information will be stored at the session level and not on the client file) see client file
Pickup Point Resources: Pickup Point Resources allow you to define a list of locations that allows the end customer to select a location during registration where they would like to be picked up to join the activity group.
Once in the material list, click "Add New" to create a new resource or "Edit" to make changes to an existing resource.
The following fields will then be available to be filled in or modified:
Internal Name*: This is the name used by you and your team, invisible to customers. (Required field)
Type: Choose the type of resource
Public Name*: This is the title visible to customers, and can be multilingual. (Required field)
Description: Commercial description of the material, can be multilingual.
Image: You can upload an image representing the material.
Price: This is the default price of the equipment, which can be changed when using it.
Price applies to: If the material is used as an option on courses, indicate whether the price is awarded once for all courses or for each session of the course.
Stock: Leave blank if you do not want to manage stock for this equipment.
Taxes: Teach any taxes that may apply to the equipment.
Staff Bonus: This field only concerns users who have the fees module. (another bonus specific to staff, when assigning the option to their session)
Resale/Reseller Commission: Determine whether commissions awarded to resellers of an activity also apply to the option.
Booking Modules: Check the booking modules where you want your product to appear.
Accounting: This field is intended for users who have the billing module. Please note that the accounting account is mandatory.
Once all appropriate fields have been completed or modified, click "Save" to save the hardware information.
Tips and best practices
Make sure to distinguish between the internal name and the public name to make it easier to manage your hardware.
Don't forget to add a representative image to help your customers understand what they are buying.
Consider your inventory when adding equipment to the list to avoid listing items that are no longer available.
Common problems and their solutions
Issue: You cannot save a new gear item.
Solution: Make sure you have filled out all required fields, marked with an asterisk (*). If the problem persists, try refreshing the page or logging out and back in.
Problem: The created material does not appear in the reservation modules.
Solution: Make sure you have checked the appropriate booking modules when creating or editing the item.
