Add equipment to a participant

Introduction

The “Add equipment to a participant” functionality in Yoplanning allows you to enrich the user experience by personalizing the material needs of participants in an activity. Whether for a specific request or to improve the service, this option offers significant flexibility in equipment management. Although the prior configuration of the equipment in the product facilitates its activation in the reservation modules and simplifies daily entry, it is entirely possible to exceptionally add equipment not initially planned.

Steps to use this feature

  1. Open the relevant session:

    • Access the session list from the left menu. You can also click on the schedule to select the desired session.

  2. Manage reservations:

    • Once the session is open, click on the "Manage reservations" button to display the list of participants.

  3. Select participants:

    • Check it or the participants you want to add material to. An “Add Hardware” button will appear.

  4. Add material:

    • Click on "Add hardware", select the desired hardware from the list provided, then save your choice.

  5. Modify the order (if necessary):

    • Yoplanning will ask you if you want to modify the order, click "Yes" if the added material requires additional billing.

Tips for use and best practices

  • Prior configuration of the hardware: Although not obligatory, configuring the hardware in the products in advance allows for more efficient and rapid management on a daily basis.

  • Feature Distinction: Do not confuse this feature with the "Sell Materials" button available in Orders, which is used to add materials not related to a specific activity (such as selling goodies at the counter).

Common errors and solutions

  • Hardware not found: If the desired hardware does not appear in the list, check that it has been configured in the "Hardware" section of the software.

  • Billing Issues: If an error occurs while editing the order for billing, make sure you have the necessary rights to make financial changes and that all information for the added hardware is correctly completed.
